Job Description:
Position Overview: We are seeking an experienced Office Manager
with a background in the construction industry to manage and
oversee daily office operations for our client. The ideal candidate
will be proficient in Sage, MS Office Suite (particularly Excel),
and Capital One online banking. You will be responsible for
managing financial transactions, coordinating with vendors and
subcontractors, maintaining office inventory, and processing
payroll for a team of 12-32 employees. Notary certification is
preferred. Key Responsibilities: Office Management: Oversee daily
office operations, ensuring a productive and organized work
environment. Maintain and order office supplies and inventory.
Review and manage Purchase Orders (POs) and ensure accurate
record-keeping. Financial Management: Process Accounts Payable
(A/P) and Accounts Receivable (A/R), including monthly billing and
following up on outstanding payments. Prepare and review upcoming
bids, ensuring all documentation is accurate and submitted on time.
Manage Capital One online banking for the company's accounts.
Gather and organize tax information for the CPA, ensuring
compliance with all regulations. Order performance and payment
bonds as needed. Payroll and Employee Management: Process payroll
for 12-32 employees, including W-2 and 1099 contractors. Handle
employee onboarding and maintain personnel records. Prepare and
distribute W-2s and 1099s annually. Contract Management: Review
contracts to ensure compliance with company policies and legal
requirements. Coordinate with subcontractors and vendors to ensure
timely delivery of services and materials. Qualifications: Proven
experience as an Office Manager, preferably in the construction
industry. Proficiency in Sage, MS Office Suite (particularly
Excel), and Capital One online banking. Strong organizational and
multitasking skills. Familiarity with payroll processing for both
W-2 and 1099 employees. Experience in reviewing contracts and
managing POs. Notary certification is preferred. Strong
communication skills, both written and verbal. Ability to work
independently and handle confidential information with discretion.
